iRoster Privacy Policy
Effective date: September 20, 2026
iRoster is operated by Gear Ink LLC. This policy explains how we collect, use, share, protect, and retain information when adults use iRoster to manage baseball and softball teams, player development, and training. Some features depend on the app version and whether the feature is enabled.
For privacy questions or requests, email sales@gearinkco.com with the subject iRoster Privacy.
1. Adults and managed player profiles
iRoster accounts are intended for adults aged 18 and older, including coaches, trainers, parents, and legal guardians. Children do not create or use their own iRoster login accounts. Adults may manage information about children through player profiles.
Adult account access, coach access, and legal-guardian authority are separate permissions. Being a team coach does not by itself authorize someone to give parental consent. A coach who is also a verified legal guardian may manage permissions for their own child.
If you believe a child has created an account or that information about a child was provided without proper authority, contact us so we can investigate and address it.
2. Information we process
• Adult account information: name, email address, account role, account identifiers, sign-in information, and account settings. Our authentication provider processes passwords and session credentials.
• Age, authority, and permissions: information submitted for adult age checks; verification requests, reference numbers, outcomes, and timestamps; guardian relationships; and consent and access records. A birthday submitted for an adult age check is not intended to become a public profile field. Hosting and security systems may also process information associated with these requests.
• Player and team information: player names or display names, profile identifiers, age or eligibility details when submitted, sports and positions, team relationships, rosters, events, attendance, game records, statistics, evaluations, practice goals, and completed training activity.
• Training information: trainer profiles, guardian-granted access, training plans and notes, generic client labels, session dates and times, time-zone settings, and completion or cancellation records. Appointment features, when available, also use the booking adult and selected player to manage the appointment.
• Media and communications: photos, performance videos, highlight titles and captions, selected files, adult messages, support correspondence, safety reports, and blocking records.
• Technical information: service requests, IP addresses, timestamps, session information, and diagnostic or security records processed by our hosting and authentication services. We also store certain preferences and pending offline game entries on your device.
• Purchases, if enabled: adult account identifiers, products purchased, transaction or subscription status, and purchase history supplied by the app store and purchase service. Payment-card details are handled by the relevant payment provider rather than entered into iRoster's team or player profiles.
Please avoid putting unnecessary sensitive information, government identification documents, or private contact information about children into messages, notes, or generic training profiles.
Optional training safety information: An authorized guardian may choose to store an emergency contact name and phone number, relevant allergies or medical notes, participation accommodations, and an authorized pickup contact. Storage consent and session sharing are separate and optional. Only current guardians can manage the record. A trainer needs a confirmed booking, current player permission, and separate permission for that booking to view it, from 24 hours before the session until six hours after it ends. Team membership, search, reviews, and notifications do not disclose these details.
A saved training safety record expires after 90 days unless the guardian reviews and saves it again. Expired information is withheld immediately and becomes eligible for scheduled deletion. Guardians can clear the record or revoke sharing at any time; changing the record revokes earlier session sharing. Consent and audit records contain no medical or contact text. This is not a medical service, and sharing a record does not authorize medical treatment. Confirm essential arrangements directly with the trainer.Location for trainer search and appointments: If you choose Near Me and grant foreground location permission, iRoster uses your device coordinates and sends them to its server to find trainers within your chosen distance. You can instead search by city, state, or ZIP code, or search without a location. iRoster does not request background location access. Trainer profiles and appointments can store provider-supplied city, state, ZIP, facility coordinates, addresses, and meeting details for discovery and scheduling. We do not send precise coordinates to AdMob for advertising.
3. How we use information
We use information to provide accounts and authorized access; organize teams, games, practices, and training; display approved statistics and media; support communication and scheduling; record guardian choices; respond to support and privacy requests; and protect the service against misuse. When paid features are enabled, purchase information is used to manage access and restore purchases.
4. Guardian choices and trainer access
Player information is subject to the relevant guardian relationship, access permissions, and purpose choices. These choices can include team visibility, statistics, photos and videos, player discovery, and training access.
A verified guardian decides whether a trainer may view recorded statistics, view selected performance videos, or add training plans. Training access does not automatically grant every other permission. Guardians may change or revoke trainer access. Previously created plans may remain available to the guardian as part of the player's training history.
Trainers may create private generic client profiles for training work before a player has an iRoster profile. These are intended to use generic labels without identity or contact details. A verified guardian can review and approve merging that work into a managed player profile. A merge does not automatically authorize statistics or video access.
5. When information is shared
• Authorized adults: relevant coaches, guardians, trainers, and team members can receive information permitted by their relationship, role, and current sharing choices.
• Service providers: we use Supabase for authentication, databases, file storage, and server functions. Hosting and video-processing services process uploaded media to prepare playable highlights and thumbnails. Providers may also process technical and security records needed to operate these services.
• Verification services: if a verification process requires additional information or an outside provider, its collection and purpose will be explained in that process before submission.
• App stores and purchase services: if purchases are enabled, the relevant app store and RevenueCat process adult purchase and subscription information. The purchase integration is not supplied with player profiles, statistics, training videos, or team messages.
• Destinations you choose: subscribing through an outside calendar service shares authorized event details, including schedule, venue, and notes. Saving or sharing an export gives the selected destination a copy. Those services apply their own privacy practices.
• Safety and legal needs: information may be reviewed or disclosed as necessary to handle safety reports, prevent abuse, protect rights, or respond to applicable legal obligations and valid legal requests.
Direct sponsor placements, where displayed, use campaign-level totals rather than children's profiles to measure activity. We do not use children's profiles, statistics, or videos for personalized advertising. Opening a sponsor or other external website subjects that visit to the destination's privacy practices.
When advertising is enabled, iRoster uses Google AdMob to display banner ads to eligible adult account holders. We request non-personalized ads. We do not supply children's profiles, sports statistics, performance videos, private messages, medical information or precise location to AdMob for ad targeting.
Google's advertising SDK may collect and share IP addresses (which can indicate general location), device and advertising identifiers, app/ad interactions and diagnostics for advertising, measurement and fraud prevention. Non-personalized ads can still involve device storage and technical data. See how Google uses information from apps at https://policies.google.com/technologies/partner-sites and Google's Privacy Policy at https://policies.google.com/privacy.
The app requests applicable advertising privacy choices before displaying ads. You can revisit available regional choices under Settings → Advertising privacy → Manage ad privacy choices. Android also provides advertising-ID controls in device settings. Active ad-free subscriptions suppress banners. Selecting an ad may open another service, whose privacy practices apply.
6. Device storage and security
iRoster uses server-side access controls and restricted access to private files. Private media access can use temporary links. No storage or transmission method can guarantee complete security, and an authorized recipient may retain a copy they download or share.
If you choose Remember Me, the native app stores session credentials in the device's secure storage; the web app uses browser storage. Otherwise, the session is held in memory. Preferences and pending offline Gamebook entries may remain in device or browser storage. Protect shared devices and sign out when finished.
7. Retention
We retain information for the purposes described in this policy, taking account of active account and team relationships, guardian permissions, ongoing training and sports history, privacy requests, and specific security or legal needs. We delete or de-identify information when it is no longer needed for those purposes. Archiving a roster or finishing a season is not the same as requesting privacy deletion.
Deletion may require review of structured records, messages, attachments, provider records, and backups. Backup copies may remain until their retention cycle ends. A submitted or queued request does not mean all copies have already been erased. Copies independently saved by another adult, calendar provider, or export destination are outside iRoster's direct control. If particular records must be retained for a specific obligation or unresolved safety matter, we limit their use to that purpose.
8. Access, corrections, consent, and deletion
Use the Parent Privacy Center, available from the profile menu or Profile & family, to review available player information, request an export, manage purpose choices and team permissions, or request player-data deletion. Adults can also request their own account export and deletion. Feature availability may depend on account approval and app version.
You can make a request without signing in by emailing sales@gearinkco.com. For account deletion, use the subject Delete my iRoster account. For a child's player information, use iRoster player privacy request. Include the adult account email and enough information to identify the request; do not email passwords, identity documents, or unnecessary sensitive information.
We may ask for additional information to confirm your identity or authority before releasing or deleting records. You may request access, correction, deletion, or withdrawal of consent. Withdrawing permission restricts the related use or access and may affect features that rely on it. Contact us if the app is unavailable, a request remains unresolved, or you need help with information in messages or previously shared files.
9. Changes and contact
We will update the effective date when this policy changes. Material changes will be communicated through the service or another appropriate notice, and we will seek any permission required before using information for a new purpose.
